Practice Manager Leamington Spa

Employed, Full Time (37.5Hrs) Ā£40K – Ā£45K

Job OverviewĀ 

The Practice Manager will be responsible for the overall operational day-to-day management of the practice, ensuring it is run smoothly and effectively, including compliance and business management. The practice manager is responsible for line management of the employees including the nursing and reception teams. The practice manager reports directly to the Company Directors.Ā 

Practice Management

  • Responsible for the day-to-day operational activities of the practice
  • Preparing and maintaining appropriate and sufficient rotas in order to ensure a smooth running practice
  • Overall management of the effective and efficient running of the practiceā€™s diary and patient management. Ensuring tasks are carried out to a high standard
  • Management of the practiceā€™s NHS contract, including transmission of UDAs, ARR and Superannuation compliance, amending performers and liaising with the LAT
  • Responsible for the maintenance reporting and organising appropriate solutions for approval
  • Ensuring that all equipment is serviced and up to date in line with practice & CQC quality assurance
  • Maintain effective patient relationships and leading by example
  • Act as the practiceā€™s complaints manager and deal with patient complaints in a clear, effective manner ensuring a timely responseĀ 
  • Responsible for clinical policies & procedures, along with wider practice and team policiesĀ 
  • Conducting risk assessments and reporting as requiredĀ 
  • Ensuring all audits are completed within a timely manner
  • Maintain good working relationships with suppliersĀ 
  • Responsible for accurate reporting and communication in order to make effective decisions
  • Where appropriate and qualified, you may be asked to carry out nursing duties where required

ComplianceĀ 

  • Keep up to date with new compliance and regulation measures and ensure the practice operates in line with legislative requirements
  • Responsible for overseeing all general nursing standards and liaising with the CQC Registered Manager in order to ensure compliance standards are upheld
  • Maintain accurate and effective records of practice policies and proceduresĀ 
  • Ensure all business related policies are kept up to date in line with CQC KHLOES
  • Ensure practice Insurance is compliant and up to dateĀ 
  • Ensure GDC & Indemnity Insurance records are kept up to dateĀ 

Financial & Business ManagementĀ 

  • Maintain accurate records of business invoices, ensuring payments are made correctly and in a timely mannerĀ 
  • Conduct daily cash flow forecasting and foresee any potential issues in cash flow management and report to the owners where necessary
  • Working closely with our external payroll providers, prepare and process the administration payroll for employees on a monthly basis, ensuring payment is made on time and without delay
  • Prepare and process pay statements and payments for self-employed associate dentists on a monthly basis, ensuring payment is made on time and without delay
  • Overall management of the patient’s debtors list and ensure money is received in accordance with the practiceā€™s policies
  • Liaise with the Accountant and provide company information for year end accountsĀ 
  • Keep clear, accurate and secure records of all financial reports and paperwork

HR & Team Management

  • The role will directly line-manage the nursing team along with the receptionist and head nurse, with support from the practice owners as appropriate
  • Conduct yearly appraisals in a timely and effective manner
  • Liaise with the external HR team to review practice policies and ensure they are upheld by all team members
  • Maintain up to date and accurate employee records in line HR best practices and CQC and GDC requirementsĀ 
  • Manage all initial recruitment of employees and self-employed associates, working with the company directors to make decisionĀ 
  • Responsible for end-to-end employee life-cycle with the support of an external HR function
  • Management of team rotas, ensuring the practice has a full and effective team to ensure efficient and smooth running
  • Overall management of team holiday allocation and team well-being
  • Lead manager on any employee related issues and responsible for escalating to external HR team and business owners where necessaryĀ 
  • Maintaining excellent records of personal continuing professional development (CPD)

Qualifications & Experience requiredĀ 

Essential

  • Evidence of strong practice management or equivalent experience
  • Experience in managing teams in a fast paced environment
  • Experience of managing multiple projectsĀ 

PreferredĀ 

  • Dental/Clinical experience is advantageousĀ 
  • Qualified GDC registered dental nurse is preferred but not essentialĀ 
  • Financial management experience, including payroll administration
